The time we spend on prioritizing a task and setting a deadline or timeline to work on it is extensive. It consumes so much of our time, that we feel exhausted and it feels as if we have achieved the part of a goal, and we don’t do anything else for the rest of the day.
Once the task prioritization is complete, we get into another problem: getting drowned by the number of tasks. We get overwhelmed with the many things to do within a day. And, we are back again holding hands again with exhaustion and tiredness.
I have experienced the same. I created plan after plan but, for one reason or another, I failed to stick to any of them.
So the first thing I did was reduce the number of tasks for the day. “Atomic Habits” a book by James Clear, gave me a new perspective towards progressing on tasks. And, thanks to AI, I created tasks as per my conditions, that do not consume all of my energy.
Today we will look at interesting prompts that you can use, that will help you get done more in less time. Make sure to be honest, because with better inputs, AI will be able to give you better response.
Find Your Chronotype
What is a chronotype? If you’re wondering about the term, don’t worry—I’m here to help. I had the same reaction when I read it for the first time. A chronotype is your natural preference for when you feel most alert or sleepy. For example, you can be a person who wakes up early or a person who would prefer staying late. These things are influenced by your internal body clock.
So, once you understand your chronotype, you can align your sleep schedule, identify your peak productivity time, and even improve your cognitive and mental health. Knowing your chronotype can help you to understand when you perform the tasks the best.
How can you find your Chronotype? Use the below prompt in any AI tool.
“I want to find out my chronotype to better align my daily tasks with my natural energy peaks. Please ask me questions one by one to help determine my chronotype, considering factors like my typical wake-up time, energy levels throughout the day, focus periods, and sleep patterns. After each question, wait for my response before proceeding to the next. Once all questions are answered, provide me with an analysis of my chronotype and suggest the optimal times of day for me to focus on high-energy tasks, creative work, and rest.”
Optimize Your Environment and Create a Routine
Once you understand your chronotype, setting up a routine is crucial. Once you wake up, following a specific routine will reduce the stress, as you know what to expect each morning. This reduces stress, and anxiety and sets a positive tone for the rest of your day.
If you are unsure how to set a morning routine or are facing difficulties with the present routine. You can use AI to find or alter the process to your needs. You can use the following prompt to help, identify and modify, your daily rituals.
“I want to optimize my environment by creating an effective morning routine and setting up a productive workspace. Please ask me questions one by one to gather information about my daily schedule and current habits. Specifically, I need to provide details about my wake-up time, work start and end times, and my typical evening routine. After collecting all the necessary information, analyze my answers and provide a personalized morning routine, including specific times for each activity (e.g., exercise, breakfast, task review). Also, suggest how to organize my workspace to minimize distractions and enhance efficiency.”
Plan and Prioritize
We receive many tasks every day. With so much to do, it’s easy to feel overwhelmed about what to tackle next and how to organize your workload. Try the prompt below to help you plan and set priorities for your tasks.
Why is this important? Planning and prioritizing can boost efficiency, reduce stress, improve time management, enhance decision-making, and promote a healthy work-life balance.
“I need help with planning and prioritizing my tasks. Please ask me questions one by one to understand my current tasks and their importance. Start by asking for a list of my top tasks for the day, and then ask me to rank them by importance. After gathering this information, provide guidance on how to effectively schedule these tasks during my working hours. Additionally, assist me in setting up a weekly review process to evaluate my accomplishments and adjust my strategies based on what worked and what didn’t.“
Time-Management Techniques
We have a plethora of time management techniques, and I have tried many of them. But not everything is our cup of tea. Finding the right technique that suits us is crucial. I tried the 5-minute rule, but my 5-minute breaks often extended to 30 minutes. So, the 20-minute focus Pomodoro technique was the right choice for me.
Similarly, find what suits you and build a time management skill, to complete the tasks efficiently.
“I need assistance in selecting a time-management technique that suits me and helps reduce burnout. Please ask me questions one by one to understand my work habits, productivity patterns, and challenges. Start by asking about my typical workday structure, including how I currently manage my tasks and any issues I face with focus or fatigue. Based on my responses, recommend a time-management technique, such as the Pomodoro Technique or Time Blocking, that would best fit my needs. Provide suggestions on how to implement this technique effectively to enhance my productivity and reduce burnout.“
Make Continuous Improvement
Small steps every day lead you to the completion of any task. It is better to complete 30% of your task in 3 days, rather than waiting for the right moment to complete the task in one day. I had a similar situation, where I was waiting for the right moment for 10 days, to start writing my blog. But later, I started assigning 15 minutes every day to complete the blog. I was able to finish it in 5 days.
Continuous improvement is necessary. Set aside time for tasks every day. It can be anything, learning, reading, writing, composing, painting, or any task. Keep working on it to make continuous improvements.
You can also reach out to your family, friends, and mentors for feedback to understand if you are improving and progressing toward your goal. Create metrics, to measure your achievements.
“I want to focus on continuous improvement in my productivity. Please ask me questions one by one to understand my current productivity strategies, challenges, and goals. Begin by inquiring about how I currently approach learning and adapting to new productivity methods, and whether I actively seek feedback from others. Based on my responses, recommend methods for continuous improvement that suit my situation. Suggest ways to incorporate these methods, such as learning new strategies or seeking feedback from colleagues or mentors, to enhance my productivity over time.“
